The Release Decision: What Has to Be True Before a Job Ships
Outgoing inspection is often described as the last look at the parts. It is more useful to treat it as a gate: a shipment is released only when a specific set of things is closed, and each one has a consequence when it is not.

Where a customer wants the raw records rather than a summary, that is arranged in advance – a report of summary values is a legitimate deliverable, and so is a copy of the measurement data, but they are different documents and the customer is entitled to know which one is coming. What is the difference between an inspection report and a certificate of conformity?
The report carries results – dimensions measured, characteristics checked, values recorded. A certificate of conformity is a declaration that the goods conform to the specification, signed by the supplier. Some customers want both, some want the certificate with the raw records available on request. If your contract asks for a certificate but expects to see numbers, say so before the order – the certificate alone will not satisfy an auditor.
How long can a record be retrieved after delivery?
Records are filed against the part number and the lot, so a query raised months later can be answered with the actual values rather than a reconstruction. The retention period is agreed in the contract – tell us at order stage if your own quality system requires a specific one, because the requirement is cheap to meet at that point and awkward to meet later.
What if only part of the order is ready?
Release is per lot, not per order, so a partial shipment is normal – the released portion ships with its records and the balance holds until its own gates are closed. What we do not do is average the two: a batch that has passed and a batch that has not are not one shipment, and the documents should show that.
